Returns, Cancellations, Credit Notes, and Terms of Service Policy – Sahada Coworking

At Sahada Coworking, we aim to operate with transparency and clear rules. This policy applies to memberships (monthly and annual), reservations, rooms, offices, events/workshops, services, and mentorships purchased through our official channels.

Precedence. In the event of any conflict between this policy and the Membership Agreement / Invoice Terms accepted by the client/member, the applicable Agreement/Invoice Terms shall prevail.

1. Memberships

1.1 Monthly Memberships (Month-to-Month)

The monthly membership is billed in advance and automatically renews month to month until canceled.

The Member may cancel at any time by providing written notice at least thirty (30) days in advance, sent to info@sahadaproperties.com.

The membership will remain active and continue to be billed until the 30-day notice period is completed. Cancellation will be effective at the close of the applicable billing cycle following fulfillment of the notice period.

There are no refunds or prorations for partial months, nor for unused benefits or credits.

1.2 Annual Memberships (Year-to-Year)

The annual membership is billed and paid in advance and automatically renews year to year until canceled.

To prevent renewal of the next annual term, the Member must provide written notice at least thirty (30) days in advance to info@sahadaproperties.com.

There are no refunds or prorations for the annual term, nor for unused benefits or credits, unless expressly authorized in writing by Sahada in extraordinary circumstances.

2. Reservations, Rooms, Offices, Events, and Services

2.1 Workshops / Workspace (Weekends)

Availability: Saturdays and Sundays (subject to service type and availability).

Required deposit: $25.00 (non-refundable charge).

Cancellation with 48 hours or more notice: the deposit may be converted into a Credit Note for future use (subject to availability and this policy).

Cancellation with less than 48 hours’ notice or no-show: the reservation is deemed used; no refund and no additional credit note will be issued.

2.2 Meeting Rooms, Private Offices, Events, Mentorships, and Other Services

General cancellation policy: 48 hours.

Cancellation with 48 hours or more notice: the client may reschedule or receive a Credit Note for future use (subject to availability).

Cancellation with less than 48 hours’ notice or no-show: the reservation is deemed used; no refund, proration, or rescheduling.

Partial use of reserved time: unused time does not generate refunds or credits.

Hourly credits (if applicable): credits are applied in one (1) hour increments. Additional time will be charged or deducted according to the applicable rate/package.

3. Credit Notes

3.1 Definition

A Credit Note is a credit issued by Sahada Coworking in favor of the client/member to be applied to future purchases of eligible services, in accordance with this policy.

3.2 Nature of the Credit

Credit Notes:

  • are non-refundable and not redeemable for cash;

  • are non-transferable (may not be sold, assigned, or exchanged);

  • are applied as a discount to a future transaction until the balance is exhausted;

  • do not entitle the holder to proration or refunds for partial periods.

3.3 When They May Be Issued

Sahada may issue Credit Notes, as applicable, in situations such as:

  • eligible cancellations (e.g., cancellation with 48 hours or more notice for applicable reservations);

  • operational closures or force majeure events that prevent service delivery;

  • verified duplicate payments, overpayments, or billing errors;

  • other exceptional cases expressly authorized in writing by Sahada.

3.4 Validity

Credit Notes are valid for twelve (12) months from the date of issuance. Once expired, they automatically lapse.

3.5 Additional Restrictions

Sahada may limit the use of Credit Notes to certain services, dates, or availability. If the client/member is in default (e.g., past-due balance), Sahada may require payment of amounts owed before applying a Credit Note.

4. Cancellation Procedure and Requests

Cancellations and related requests (rescheduling/credit notes) must be submitted in writing to info@sahadaproperties.com and/or through the online system, if applicable.

The client/member must include: name, service, date, invoice/order number, and reason. Sahada will confirm the determination and, if applicable, the issuance of a Credit Note.

5. Exceptions and Extraordinary Circumstances

In extraordinary circumstances (e.g., death, hospitalization, or other major events; or closures due to hurricanes/earthquakes or other disasters that prevent use), Sahada will not issue monetary refunds. Where applicable, a Credit Note for future use may be granted, subject to availability and this policy.

6. End of Service and Address Blocking

(Memberships with Commercial/Virtual Address)

Upon expiration or termination of the service, the Member must immediately cease using the address and associated services, including its use on social media, registrations, permits, Treasury/Tax Authority, Department of State, banks, websites, invoices, packaging, and promotional materials.

Continued use after termination may be considered continuation of service and will generate applicable charges. Sahada may mark correspondence as “Return to Sender” and take reasonable measures to protect its operations.

7. Unauthorized Use After Termination; Charges and Fees

If a Member continues using Sahada Coworking’s address or related services after cancellation or without an active membership:

  • such use will generate applicable charges; and

  • if Sahada must undertake collection efforts or legal action, the Member shall reimburse reasonable costs, including attorneys’ fees, with an agreed minimum of $3,000.00, plus court costs and administrative charges, in accordance with the laws of Puerto Rico and without limiting other available remedies.

9. Changes to This Policy

Sahada may update this policy. Any changes will apply prospectively (going forward) and will be published through our official channels.
